Choosing your language (Polish support)

Torqueflow supports English and Polski (Polish) for the staff interface and the customer portal. Users pick their own language from the user menu. Owners can also set an organisation default that applies to new staff until they choose for themselves. Customers using the portal automatically see Polish if their browser is set to Polish — no sign-in required.

This release translates the entire staff UI: navigation, dashboards, work orders, customers, parts, scheduling, finance, billing, communications, voice AI dashboard pages, settings, and validation messages. Some specific surfaces are not yet translated — see “What is not translated yet” below.

  1. Click your avatar in the top-right of Torqueflow.
  2. Click the Language dropdown (globe icon).
  3. Pick English or Polski.
  4. The whole interface changes immediately. A confirmation toast appears in the new language (“Język zmieniony na Polski”).

Your choice is saved on your profile. The next time you sign in, Torqueflow loads your preferred language straight away.

Set the organisation default language (Owners)

  1. Go to Settings → Organisation.
  2. In the Regional section, find Default Language.
  3. Pick English or Polski.
  4. Save.

The org default applies to new staff members until they pick their own language. Existing staff who have set a personal language preference are not affected. The org default does not cascade to customers using the portal.

Customers do not have a language picker. The portal reads the customer’s browser language settings on their first visit:

  • Browser is in Polish (pl-PL, pl) → portal opens in Polish.
  • Browser is in English or unknown → portal opens in English.

The portal uses formal address (Pan/Pani) in Polish — appropriate for a customer-facing surface.

The entire staff interface in this release: navigation, dashboards, work order workflow, customer/vehicle records, parts and inventory, scheduling and the workshop kanban, time tracking and the kiosk, all finance pages (invoices, credit notes, statements, reports, billing), communications inbox, voice AI dashboard pages, all settings pages, signup and authentication, validation and error messages, and toasts.

The customer portal is also fully translated, including the login flow, dashboards, work orders, invoices, messages, and quote acceptance.

These are deliberately out of scope for this release:

  • Voice AI calls themselves — what the AI agent says on a phone call is part of a separate ongoing piece of work. The voice dashboard pages and call logs are translated; the call audio is not.
  • SMS and WhatsApp message bodies sent to customers. The inbox UI is translated; the actual messages your AI sends to customers are not yet pulled from translations.
  • PDF documents (invoices, receipts, credit notes, quotes). PDFs are still rendered in English. Polish diacritics in PDFs remain an open item.
  • Most outbound transactional emails. A handful of emails (e.g. quote decision notifications) are translated, but most are not.
  • User-generated content — work order notes, customer messages, internal comments stay as written. The language switcher does not translate user data.
  • Currency, VAT rate, date formatting — Torqueflow displays currency in GBP £ and VAT at the UK standard rate regardless of language. Date formats also follow UK conventions. The labels around them change language; the values do not.
  • The Polish translation is aimed at Polish speakers living in the UK, not Polish speakers in Poland. UK regulatory terms (MOT, DVLA, VAT, HMRC) are deliberately not translated — Polish customers in the UK see these terms on their own paperwork.
  • Polish text averages 20-30% longer than English. We have reviewed common screens for layout, but if you spot something wrapping awkwardly, please report it.
  • A small number of Polish phrases carry ”/” gender workarounds (e.g. “Zapoznałem/Zapoznałam się”) pending native-speaker review.
  • Romanian is wired up but not yet enabled in the language picker. It will appear when the Romanian translation is complete.
  • Brand names stay as-is in any language: Torqueflow, Stripe, WhatsApp.

Problem: I switched to Polish but I still see English in some places. Cause: A handful of strings remain in English while the translation pack is being completed (the system falls back to English where Polish is missing). PDFs, call audio, SMS bodies, and most outbound emails are deliberately not yet translated — see “What is not translated yet”. Fix: Most user-facing UI is translated. If you find a critical staff-facing screen with persistent English, contact support so we can prioritise it.

Problem: Customer says the portal opened in the wrong language. Cause: The portal reads browser language. If their browser is set to English, they see English; if Polish, Polish. Fix: Customers can change their browser language in their device settings. There is no portal-side language picker in this version.

Problem: New staff member’s UI defaults to English even though our org default is Polski. Cause: The org default applies until the user picks their own. If they have signed in once and clicked anywhere with the language picker, their personal preference may have been set to English. Fix: Have them switch to Polski from their user menu — their preference is then saved.

Problem: I changed the org default to Polski but my own UI did not change. Cause: Org default does not override an individual staff member’s saved preference. Fix: Switch your personal language from the user menu. The two settings are independent on purpose.
