Organisation settings - business details, address, and timezone
Summary
Section titled “Summary”Organisation settings live at Settings > Organisation. The page has three independent sections, each with its own Save button: Business Details (name, phone, email, category), Address (lines 1 and 2, city, county, postcode, country), and Timezone (a searchable picker driving every date and time the platform shows or sends).
The organisation timezone is used by the booking system for slot times, by the AI receptionist when it quotes calendar references like “tomorrow at 9”, and by the WhatsApp/email notification pipeline when it formats dates in messages to customers. Getting it right matters - the previous default of “Europe/London” is now a per-organisation choice.
Prerequisites
Section titled “Prerequisites”- You are signed in as a user with the
settings.organization.managecapability. Owner and Admin roles have this by default.
Open the Organisation page
Section titled “Open the Organisation page”- Navigate to Settings > Organisation. The page title is “Organisation”.
- The page is divided into three cards: Business Details, Address, and Timezone.
Edit business details
Section titled “Edit business details”- On the Business Details card:
- Organisation name (required, max 100 characters) - the name shown across the platform and in customer-facing communication.
- Business phone (optional) - validated as a UK phone or international format.
- Business email (optional) - validated as a standard email.
- Business category (optional) - pick from the predefined list (e.g. independent garage, MOT centre, body shop).
- Click Save business details.
- A toast confirms “Business details updated”.
Edit your address
Section titled “Edit your address”- On the Address card, fill in:
- Address line 1 (optional)
- Address line 2 (optional)
- City (optional)
- County (optional)
- Postcode (optional, validated as UK format when country is United Kingdom)
- Country is read-only and shows “United Kingdom” - international support is not yet available.
- Click Save address.
This address is your organisation’s headquarters address. Each individual workshop site has its own address on the Locations page - see Managing locations.
Set your timezone
Section titled “Set your timezone”- On the Timezone card, click the timezone picker.
- Type to search (e.g. “London”, “New York”). The list shows every IANA timezone identifier available in your browser.
- Pick the right timezone for your business. For most UK garages this stays at Europe/London (which respects British Summer Time automatically).
- Click Save timezone.
The timezone takes effect immediately for new operations. In-flight bookings or notifications already scheduled use their original timezone.
Expected Outcome
Section titled “Expected Outcome”- Each of the three cards shows a green tick or “Saved at” timestamp when its details are stored.
- Any time the AI quotes a date or time to callers (“how about tomorrow at 9?”), the booking system computes slot times, or a WhatsApp/SMS notification mentions a date, those values use the timezone you set here.
- Your business details and address appear on customer-facing documents (invoices, quotes, statements) where applicable.
Troubleshooting
Section titled “Troubleshooting”Problem: I do not see the Organisation card on the Settings page.
Cause: Your account does not have the settings.organization.manage capability.
Fix: Ask the owner to update your role’s capabilities, or use an Owner/Admin account.
Problem: A customer received a notification with a date that is an hour out. Cause: Your organisation timezone may be wrong, or the original event was scheduled before the timezone was changed. Fix: Check Settings > Organisation > Timezone and verify the right zone is set. New notifications will use the corrected zone.
Problem: “Enter a valid UK postcode” - even though my postcode is correct.
Cause: The validator only accepts UK postcode formats and checks for typos like missing space or wrong character class.
Fix: Make sure the postcode is in standard UK format (e.g. SW1A 1AA).
Permissions
Section titled “Permissions”| Action | Required capability |
|---|---|
| View the Organisation page | settings.organization.manage |
| Save business details, address, or timezone | settings.organization.manage |
- Branding (logo, primary colour, custom domain) is on a separate page - see Organisation and branding settings. The two pages were split because they are configured by different people on different cadences.
- Per-location addresses, opening hours and special instructions are on the Locations page, not here. See Managing locations.
- Each card can be saved independently. You do not need to fill in all three at once.
- The timezone picker uses your browser’s built-in IANA timezone list - so it stays current with daylight-saving rules and territorial changes without a Torqueflow update.
