Set up your AI assistant with the onboarding wizard

When you sign up for Torqueflow, the /setup wizard walks you through nine guided steps to get your AI assistant live. The wizard takes care of phone-number assignment, persona, greetings, knowledge, hours, recording, services, and a test call - so you do not need to know in advance which settings page does what. Each step saves as you finish it; close the browser and come back, you pick up exactly where you left off.

This guide walks through the wizard end to end and explains what each step is asking for.

  • You have signed up for a Torqueflow account. See Sign up for Torqueflow.
  • You are signed in as the owner of the new organisation.
  • You have not already completed the wizard or had your number provisioned by a Torqueflow admin. If either of those is true, the wizard skips itself and sends you straight to the dashboard.
  1. Sign in to Torqueflow.
  2. Navigate to /setup in your browser, or click the Set up your AI assistant card on the dashboard if it is shown.
  3. The wizard opens at step 1, with a progress bar across the top showing all nine steps.
  1. The wizard has already selected an available number for you from the pool. Click Continue to keep it.
  2. To pick a different number, click Choose a different number. A list of available pool numbers appears.
  3. Pick one and click Select. If someone else picked the same number while you were browsing, you see “That number was just taken, please pick another” and the list refreshes.
  4. The wizard advances to step 2.

If no numbers are available right now, the wizard shows “No numbers available right now - we’re adding more. Please check back shortly.” Try again later or get in touch with support.

Set the AI’s name, voice, gender, and style. See Configure Voice AI Settings for the full field reference.

Pick a greeting style from the library. Each option is previewed with your AI name and garage name substituted in.

Add the things your AI should know - directions, key drop, transport, anything else you want it to mention to callers when asked.

Set your weekly opening hours. The AI uses these when callers ask “what time are you open?” and the after-hours behaviour kicks in outside of them.

Decide whether to record calls and for how long (30, 60, or 90 days). The AI tells callers when recording is on, in line with UK rules.

Mark each of your services as Yes, No, or Conditional. The AI uses this when callers ask “do you do clutches?” or similar.

The wizard asks you for your phone number and rings you so you can speak with the AI. The screen turns green when the test passes - the AI answered, looked up some test data, and handled the call cleanly.

Click Go Live. From this moment, real inbound calls to your business number are handled by the AI.

The wizard closes and lands you on the Voice AI dashboard. The setup banner across your dashboard now shows a green “Voice is live” badge.

  • Your business number is assigned and shown on the Voice AI overview.
  • All nine wizard steps are complete.
  • The AI is live and handling inbound calls to your business number.

Problem: The wizard sends me to the dashboard instead of opening. Cause: Either the wizard was already completed, or your phone number was provisioned by a Torqueflow admin (the admin path skips the wizard). Fix: Go to Settings > Voice AI to configure manually, or contact support if you expected to see the wizard.

Problem: I closed the browser midway through. Will I lose my progress? Cause: None - the wizard is fully resumable. Fix: Sign back in and revisit /setup. You land on the step you were on, with everything you have entered so far preserved.

Problem: “That number was just taken, please pick another.” Cause: Two new garages happened to pick the same pool number at the same time. Fix: Pick a different number from the refreshed list.

Problem: The Test Call step says the test did not pass. Cause: The AI did not perform a data lookup during the test call. Fix: Click Try Again and during the call ask the AI to look up a work order or customer (you can use any made-up reference) - that triggers a lookup and proves end-to-end behaviour.

The wizard requires the voice.settings.manage capability, which the Owner role has by default. Other roles cannot access /setup.

  • Every change you make in the wizard is saved against your account immediately. You can revisit and edit any setting later from Settings > Voice AI.
  • The wizard is a one-time setup tool. Once complete, day-to-day changes happen on the Settings > Voice AI sub-pages instead.
  • If you have more than one workshop site, the wizard sets up your organisation-wide defaults. Per-location overrides are configured separately later - see Voice AI settings per location.
